Quickly Schedule Google Calendar Meetings in Google Chat

Scheduling meetings directly within Google Chat can really speed up your workflow, making sure everyone’s on the same page without having to jump between apps. It’s a pretty efficient way to keep all meeting details clear and accessible right from your chats.

Scheduling from Desktop

Alright, let’s get down to scheduling a meeting from your desktop. Here’s how:

  1. First things first, head over to chat.google.com and log in with your Google account.
  2. Next, find the chat – be it a single person or a group – where you need to schedule this meeting. Hover your mouse over the name, and you’ll see a few options pop up. Click the ‘Calendar’ icon.
  3. Alternatively, if your chat is already open, look for the ‘Calendar’ icon on the right side of the message input field. You can click this to get started with your event setup as well.
  4. You’ll see a Calendar panel pop up on the right side showing a preview of your new event. To make changes, hit ‘Edit in Calendar’ at the bottom right.
  5. This will open the event page in Google Calendar. First thing: give your meeting a title that makes sense. This helps everyone know what’s going on.
  6. Now, set the date for your meeting by clicking on the date field and picking the correct date from the little calendar that shows up, or just type it in.
  7. Set your meeting start and end times. Select from the dropdown options, or type them in directly to fit your schedule.
  8. If it’s a recurring meeting, click ‘Does not repeat’ and choose how often it should repeat, like daily, weekly, or monthly.
  9. Under ‘Event Details’, set up a reminder so you get a heads up before the meeting starts. Setting it for 5 or 10 minutes beforehand usually works well.
  10. In the ‘Description’ box, include any info or agenda for the meeting. This helps everyone show up ready.
  11. On the right under ‘Guests’, type in the email addresses of anyone else you need to invite. They’ll get an invitation to the meeting.

  1. Fire up your Google Chat app on your phone and sign in.
  2. Find the chat where you want to plan the meeting, just like on desktop.
  3. Tap the ‘Calendar’ icon, it’s right below where you type your messages.
  4. The Google Calendar app will open. You will see a panel at the bottom with the basic event info. Swipe up to see more details.
  5. Set the date and time of the event by tapping on the appropriate fields and selecting when it should happen.
  6. To change the meeting’s repetition, tap on ‘More options’ and select ‘Does not repeat’, or choose one of the recurring options.
  7. Scroll down to ‘Notifications’ and tap the default time to set a reminder for the meeting.
  8. Select the reminder time you want. There will be a checkmark when you’ve selected the time.
  9. Once all details are set, tap ‘Save & share’ to finalize the meeting and send it to your participants.
  10. You will be asked if you want to email the guests. Tap ‘Save & share’ again to send out the email invites.
