Microsoft Edge Workspaces: A Collaborative Guide

Hey everyone,

Microsoft Edge Workspaces is a seriously cool feature built right into Edge that lets teams collaborate on browsing sessions in real-time. Forget sending endless links back and forth! This tool boosts productivity by letting multiple users access the exact same web pages and resources, keeping everyone on the same page.

Think of Edge Workspaces as dedicated browser windows where you can organize tabs and favorites. It’s like tab grouping on steroids, because you can share those tabs with others. Here’s how to make the most of it on your Windows PC.

What’s the deal with Microsoft Edge Workspaces?

Basically, Edge Workspaces lets teams working together on a project simultaneously access and interact with the same set of web pages and files. This eliminates the need to constantly exchange links, which streamlines the whole collaboration process. You can share links as open tabs and see what others are viewing or working on, making teamwork smoother.

When you create an Edge Workspace, it syncs your favorites, browsing history, and open tabs with all the people you’ve invited. Everyone can see the active tabs others are using, which improves transparency and teamwork. Your personal stuff, like passwords, downloads, and cookies, stays private. Emails and other sensitive info on your device aren’t shared in the workspace.

Why use Microsoft Edge Workspaces?

Edge Workspaces boosts project management efficiency by allowing managers to comment directly on different tabs and tag team members to handle those items quickly. This built-in communication reduces the need for separate messaging apps and keeps all project-related discussions in one place.

Plus, while supporting collaboration, Edge Workspaces protects your private content. If you have personal accounts or tabs open, other team members will only see a placeholder instead of your actual content, ensuring your privacy during team sessions.

Another bonus? Edge Workspaces sync across all your devices. You can access your organized tabs and groups from any machine. This means you’re not tied to a single device and can continue your work from anywhere. Workspaces are also saved automatically when you close them, freeing up system resources. When you reopen a workspace, all your tabs are instantly available, so you can get back to work without any delays.

Setting up your Microsoft Edge Workspace

To start using Microsoft Edge Workspaces, you need to set it up while logged into your Microsoft account in the Edge browser.

  1. Make sure you’re signed into your Microsoft account in Edge. Then, click the Microsoft Edge Workspace icon—it’s usually next to your profile picture in the top-right corner of the browser.

  2. In the dropdown menu, click Create New to start a new workspace.

  3. Give your workspace a name and pick a color theme. This helps you tell them apart. When you’re done, click Done.

  4. Edge will open a new window with your workspace. Now you can organize tabs and get the content ready to share with your team.

Using Microsoft Edge Workspaces

Once your workspace is up and running, you can invite team members to collaborate.

  1. Click the Invite button in the top-right corner of the workspace window to add collaborators.

Method 1: Invite by Email

  1. In the invitation window, type the email addresses of the team members you want to invite and send the invitations.

Method 2: Shareable Link

  1. Alternatively, click Copy Link to generate a shareable link. Send this link to your team members through email or your preferred communication channel. This is a less effective method compared to sending an invite by Email, as anyone with this link can potentially join the Workspace.

  2. When team members receive the invitation link, they can join the workspace by clicking on it. After joining, their initials will show up in the top-right corner of the tabs they’re viewing, so you know who’s active.

  3. To chat within the workspace, click the Chat icon at the top to open the chat panel. Here, you can send messages to other collaborators right inside the browser.

  4. To manage your workspace settings, click on the workspace name at the top, then select options like ‘Edit’, ‘Delete’, or ‘Leave’ to modify the workspace as needed.

Note: Only collaborators can leave a workspace. If you are the owner of a workspace, you will only be able to delete it. Also, when you delete a workspace, it will no longer be accessible to you. Team members who are part of the workspace still be able to access it.

Microsoft Edge Workspaces is a great platform for seamless collaboration, allowing teams to share browsing sessions, communicate in real-time, and maintain privacy. By integrating project resources and communication within the browser, it simplifies workflow and boosts productivity.
